Home / Fix a Problem / Emails Not Arriving / From-address / reply-to misconfiguration

The “from” and “reply-to” addresses on outgoing WordPress email are set by whatever plugin or code last configured them, and it’s common for these to end up wrong in ways that aren’t visible until a customer actually hits reply — sending from a placeholder address, or one nobody checks, that quietly breaks the moment a real conversation starts.

Check what a received email’s From header actually says

Send yourself a test email from the site (a password reset works) and look at the actual sender address shown, not just the display name — some email clients hide the real address behind a friendly name, so you may need to click or hover on the sender to see it.

If it’s not the address you intended, that confirms this specifically, rather than a broader delivery problem.

From-address / reply-to misconfiguration

The wrong sender or reply-to address fixed, so replies actually reach someone who checks them.

Why this costs $49. An hour of a capable WordPress developer’s time runs about $82 in the UK, $100 in the US and $105 in the Gulf, and for anything urgent a two-hour minimum is normal. This is $49 for up to 45 minutes of hands-on work, with a full backup taken before we start. 2026 market rates.

This or something else?

The wrong address shows as sender, or replies go nowhere useful This fix covers it
Emails aren’t arriving at all, address correctness isn’t the issue A deliverability diagnosis instead
You want to change the display name only, not the actual address This fix covers it; a smaller version of the same task
Multiple different addresses need to be correct for different email types This fix covers it; worth listing them all when ordering
The address is correct but customers still can’t successfully reply A deliverability or inbox-configuration issue instead

What you are seeing

  • Emails showing an unexpected or generic sender address
  • Replies from customers going to an address nobody monitors
  • The address may be a placeholder, a developer’s old address, or a plugin default
  • May affect all site email or only specific types, like WooCommerce order emails

Common causes

  • A plugin’s default sender address never changed after installation
  • WordPress’s own site admin email being used as a catch-all despite not being monitored
  • Conflicting settings between WooCommerce, an SMTP plugin, and WordPress core each trying to set the address
  • A developer’s placeholder address left in place after the site went live
  • Different plugins each sending from their own default, with no consistent address across the site

What we do

  1. Audit every plugin and system currently setting a from-address or reply-to
  2. Confirm which addresses you actually want used, and for what
  3. Set a consistent, correct from-address and reply-to across the site
  4. Resolve any conflicting settings between plugins fighting over the same setting
  5. Send test emails across each email type to confirm the correct address shows
  6. Confirm replies sent to the new address actually reach where they should

What is included

  • Consistent, correct from-address and reply-to set across all site email
  • Conflicting plugin settings resolved
  • Testing across each email type the site sends
  • A written note of what was changed and why

Not included

  • Setting up a new mailbox to receive replies, if one doesn’t already exist
  • Fixing a deliverability problem separate from address correctness
  • Ongoing changes if you want the address updated again later
  • Branding or formatting changes to the emails themselves

Questions about this fix

Why would different emails from my own site show different sender addresses?

Because different plugins and WooCommerce itself can each set their own from-address independently, with nothing keeping them consistent unless configured that way.

Is this something I could have just changed myself in settings?

Sometimes, if it's a single obvious setting, but it's common for multiple plugins to be quietly overriding each other, which is harder to spot without checking each directly.

Will changing the from-address affect my email authentication (SPF/DKIM)?

It can, if the new address is on a different domain than what's authenticated — we check that so the change doesn't quietly break deliverability.

Can different email types use different reply-to addresses?

Yes, that's a common and reasonable setup — order emails replying to support while a contact form replies elsewhere, for instance.

What if nobody currently checks the address customers have been replying to?

Worth confirming and fixing regardless — we'll flag it clearly if we find replies have likely been going to an unmonitored address.

Your access, your rules

Create a separate admin account for us and delete it when we are done. For anything else, we get in touch and agree a method — never a form field on this site, never by reply to an email.

We back up first, always

Before anything is touched we take a full backup and keep it for 30 days. If a fix goes wrong, we put the site back exactly as it was.

If it is not what you bought

If the problem turns out smaller than what you ordered, we refund the difference. If it is bigger, we stop and send a quote before doing any extra work.

If we cannot fix it

You get back what we received. Diagnosis is on us — you only pay when the problem is actually solved. The payment processor takes its fee before the money reaches us, so we never hold it and it is not ours to return. That is true here as everywhere else.

If it comes back

Reply within seven days of delivery and we put it back on the bench at no cost. The fix is not finished until it holds.

What we are responsible for

If something goes wrong with a fix, our responsibility is limited to what you paid for it. We take a full backup first so mistakes can be undone, and we tell you before doing anything outside what you bought.
