An accounting integration — QuickBooks, Xero, or a similar export — only stays useful if it keeps matching what’s actually in your store. When it breaks, orders stop appearing on the accounting side, or appear with the wrong totals, and the usual cause is a sync that failed silently rather than the accounting software itself being at fault. Nothing crashes; the two records simply stop agreeing.
Before you buy, one quick look
Read-only. Most accounting plugins show a sync log or a last-successful-run timestamp in their own settings screen.
If it stopped days or weeks ago, that narrows things considerably compared to a sync that’s still running but producing wrong numbers — two different problems with different fixes, and knowing which one you have before we start saves a round of back-and-forth.
It’s worth checking this even if you’re not sure what you’re looking at. A log full of recent successful entries points at a data-mapping problem; a log that simply stops on a date is a connection problem, and the two are diagnosed differently from the first step. If you can’t find a log at all, that’s useful information too, and tells us the plugin’s own visibility into its own sync may be part of what needs fixing here.
Order export & accounting integration repair
Orders have stopped syncing to your accounting software, or are arriving with the wrong numbers. We find where the sync broke and get it matching again.
- Full backup taken before we start
- If we can’t fix it, you get your money back
- We never ask for your own password
This or something else?
| Orders missing entirely from your accounting system | This fix covers it |

What you are seeing
- Orders not appearing in your accounting software at all, as if they were never placed
- Orders appearing but with totals, tax or fees that don’t match what the store recorded
- The sync working for some order types — standard orders, say — and not others, like refunds
- No error visible anywhere in either system, just data that quietly stopped matching
- It may have started after a WooCommerce, plugin, or accounting-side update, or with no obvious trigger at all
Common causes
- An authentication token between the two systems expiring silently in the background
- A WooCommerce update changing an order field the integration reads in a way it wasn’t built to expect
- Refunds, partial payments or fees not mapped the same way on both sides of the connection
- The sync failing on specific orders and skipping them rather than stopping and raising an error
- A scheduled task responsible for triggering the sync no longer running at all
What we do
- Take a full backup before touching anything
- Check the integration’s own sync log for exactly where and when it started failing
- Compare a sample of orders on both sides to see precisely what’s mismatched and how
- Re-establish authentication or connection settings if that’s what lapsed
- Correct the mapping for any order fields not translating correctly between the two systems
- Run a fresh sync and reconcile it against the store’s own order data to confirm agreement
What is included
- The sync working again, verified against real orders on both sides
- A reconciliation showing which orders were missed and are now corrected
- The specific cause identified and named
- The pre-fix backup, kept for 30 days
Not included
- Reconciling accounting periods already closed before this fix, which is an accounting decision
- Ongoing bookkeeping or accounting advice
- Building a new integration where none currently exists
- Fixing bugs inside the accounting software itself, which is outside our access
Questions about this fix
Will fixing this change numbers my accountant has already reported?
Only going forward, and only for the specific orders we backfill — we tell you exactly which ones so you can flag it if a period's already closed. We don't silently rewrite historical totals.
Can missed orders be backfilled once the sync is fixed?
In most cases yes, since the order data still exists in WooCommerce even though it never reached the accounting side. We include this as part of the fix rather than leaving a gap in your books.
Will this happen again after the next update?
If the same field or token is the recurring cause, we say so and, where possible, make the connection more resilient to it rather than just fixing today's instance.
Do you need access to our accounting software too?
Usually yes, at least read access, to compare what's actually there against the store. We ask for the minimum needed to diagnose and confirm the fix.
What if the totals are off by a small, consistent amount?
That pattern usually points to a specific mapping issue — tax or a fee handled differently on each side — rather than a broken sync generally, and it's often quicker to fix than a full outage.

If this is the second time this year
A bad update breaking the site is a symptom of updates not being tested first. Care plans run every update on a staging clone before it reaches your live site, which is the actual fix for this happening again.
Your access, your rules
Create a separate admin account for us and delete it when we are done. For anything else, we get in touch and agree a method — never a form field on this site, never by reply to an email.
We back up first, always
Before anything is touched we take a full backup and keep it for 30 days. If a fix goes wrong, we put the site back exactly as it was.
If it is not what you bought
If the problem turns out smaller than what you ordered, we refund the difference. If it is bigger, we stop and send a quote before doing any extra work.
If we cannot fix it
You get back what we received. Diagnosis is on us — you only pay when the problem is actually solved. The payment processor takes its fee before the money reaches us, so we never hold it and it is not ours to return. That is true here as everywhere else.
If it comes back
Reply within seven days of delivery and we put it back on the bench at no cost. The fix is not finished until it holds.
What we are responsible for
If something goes wrong with a fix, our responsibility is limited to what you paid for it. We take a full backup first so mistakes can be undone, and we tell you before doing anything outside what you bought.
